Principal Secretary to MD

We are looking for an experienced Executive Assistant / Principal Secretary to provide high-level administrative support to our Director, ensuring seamless operations and efficient management of tasks. The ideal candidate will possess a strong background in operations, finance, and organizational management, enabling them to anticipate needs, manage priorities, and getting things done with precision. This role requires exceptional communication skills, attention to detail, and the ability to handle confidential information with discretion.

Key Responsibilities:

  1. Act as a liaison between the Director and internal/external stakeholders, effectively communicating priorities, deadlines, and relevant information.
  • Conduct research, compile data, and prepare reports or presentations as required by the Director, ensuring accuracy and timeliness.
  • Assist in the development and implementation of operational strategies, streamlining processes and improving efficiency across departments.
  • Monitor and manage financial activities, including budget tracking, expense reports, and invoice processing, in collaboration with the finance team.
  • Maintain organizational systems and databases, ensuring information is up-to-date and easily accessible for the Director and relevant team members.
  • Coordinate special projects and initiatives as assigned by the Director, collaborating with cross-functional teams to achieve objectives.
  • Handle confidential information with discretion and professionalism, maintaining a high level of confidentiality at all times.
  • Assist in preparing for meetings, including agenda development, document preparation, and follow-up action items as needed.

Preferred Qualifications:

  • MBA, CA, CS, ICWA, Engineer or any relevant degree.
  • Previous experience supporting senior executives or directors in an executive capacity.
  • Strong understanding of operational processes, financial management principles, and organizational strategies.
  • Strong analytical and problem-solving skills with a keen attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
